Case note drafting, spoken

Talk through the visit.
Read back a case note.

VozNotes turns a spoken debrief into a structured, seven-section case note draft — one you review, correct and sign off yourself. Nothing is filed until you say so.

No account required. Nothing is saved to a server database.

How it works

Record. Draft. Sign off.

Nothing is filed automatically — a case note only counts once you've reviewed and confirmed it yourself. Start a note from Session Details, then talk naturally about the visit.

Record

Add the session basics — participant reference, support item, location — then speak naturally about the visit. No forms to fill in first, no need to sound formal.

Draft & review

Your words are transcribed, the app asks a follow-up question if something's missing, then drafts a structured case note you can edit section by section before it's final.

Sign off

Confirm it's accurate, add your signature, and it's done — signed, saved to your device, and ready to export whenever you need it.

Export

Signed off? Export it in one tap.

Turn a completed note into a clean PDF and hand it off through your phone's own share sheet — AirDrop, Mail, Messages or Save to Files. Nothing about the export is stored by the app.

  • Optional participant reference for the exported file only
  • Export name is never saved, and never sent to the AI provider
  • Confirm accuracy once more before the PDF is created

Before you file it

A second read, before you rely on it.

Every draft is scored against the same checklist — so you catch a gap while you can still remember the visit, not three weeks later at audit time.

Completeness

Anything left blank in a required section gets flagged before you sign off.

Accuracy

A prompt to double-check details that look inconsistent with what you recorded.

Clarity

Plain, professional, objective language — not verbatim transcript.

!

Consistency

Mismatched details between sections are called out for your review.

Compliance

Checked against the basics your documentation is expected to cover.

This is a drafting aid, not a compliance guarantee. VozNotes isn't endorsed or certified by the NDIS Commission or any regulator — the final judgement is always yours.

All notes, at a glance

Draft, ready, completed — sorted the way you actually work.

Pin the notes you're mid-way through, search old ones by reference, worker or date, and pick up a recording where you left off — even from the car between visits.

  • Pinned and recent notes on one screen
  • Draft / ready / completed status at a glance
  • Filter by status, search by participant or support item
  • Works from a dashboard mount between visits

Privacy by design

Built so the person's identity was never required.

VozNotes only asks for a first name, initials, or a reference you choose — never a surname, NDIS number, date of birth or address. That's not a setting you turn on; it's how the fields are built.

1

Recordings are deleted automatically once transcribed — success or failure.

2

Raw transcripts and follow-up answers are cleared once a note is signed off.

3

Completed notes stay on your device — never synced to a server database.

4

Delete a note, a participant's notes, or the whole app's data, any time from Settings.

Session text is sent to third-party AI providers solely to transcribe and draft your note. See the full Privacy Policy in the app for what's shared and why.
